1. Information We Collect
In providing an aircraft rental and scheduling platform, we collect the following categories of information:
- Account & Identity: Full legal name, email address, password hashes (salted using industry-standard cryptographic algorithms), and profile contact information.
- Pilot Qualifications & Certifications: FAA Pilot Certificate numbers, category/class ratings (e.g. ASEL, AMEL, Instrument), Medical Certificate class and expiration date, Flight Review (BFR) dates, total logged flight hours, and club checkout endorsements.
- Flight & Reservation Telemetry: Aircraft reserved, scheduled departure/arrival times, origin and destination airport ICAO identifiers, check-out/check-in Hobbs and Tachometer meter times, reported squawks/discrepancies, and fuel receipt uploads.
- Device & Network Information: IP addresses, browser user-agent, operating system, and system performance logs collected during session authentication.
2. How We Use Information
We use your information exclusively for operational, safety, and compliance purposes:
- To authenticate your identity and administer your pilot account.
- To verify compliance with aircraft insurance minimums, make/model checkout requirements, and FAA currency rules before flight dispatch.
- To process aircraft schedule reservations, prevent duplicate bookings, and notify you of schedule changes or maintenance groundings.
- To calculate flight rental charges based on Hobbs/Tachometer time and process fuel reimbursement credits.
- To facilitate safety investigations, squawk tracking, and fleet airworthiness management.
5. Aviation Record Retention & Archival
Because aviation safety, insurance auditability, and civil aviation regulations impose strict recordkeeping requirements, completed flight reservation records, Hobbs/Tachometer logs, and aircraft squawk tickets are retained for a minimum of five (5) years or as required by governing aviation insurance underwriters.
6. Your Rights & Data Controls
Under applicable data privacy laws, you possess the right to:
- Request a copy of your personal pilot data, rental records, and profile credentials.
- Request correction of outdated or inaccurate pilot qualification data.
- Request deactivation and deletion of your pilot account (subject to statutory aviation audit retention requirements).
To submit a data access or deletion request, please contact our privacy officer through the portal support channel.
